PROCUREMENT DESK / TWO QUOTES

Before the price,
the same scope.

Compare two quotes for the same display count, license and service period, and installation work. Separate what you need, what each claims to include and the questions still to resolve.

Go to the procurement desk ↓

Have both quotes at hand. Eight items to check.

What each quote includes.

One quote may include installation while another covers only equipment. A license may cover the first year and leave renewal unspecified. Before comparing amounts, ask both to respond to the same brief, display count, period and conditions. This worksheet shows differences and open questions; it does not choose a vendor.

Mark “Included” only when the quote says so. If it is absent, use “Request details,” not “Excluded.” Record the document, page and condition: identical selections do not prove equivalent quality, timing or performance.

Set the display count, comparison period and installation work for both quotes. Then review each item; differences and missing details appear first.

01 / SET THE BASELINE

Work from statements in the quotes. No data is sent and no permanent draft is saved. Switching languages carries the context within this tab if the browser allows temporary storage.

02 / CHECK THE SCOPE

01Equipment & configuration

Model, quantity, orientation, permitted operating hours and accessories. Record the exact specification or page.

02Installation & commissioning

Mount, cabling, access, configuration and who accepts the handover. Do not assume building work or load calculations.

03Player & connections

Built-in or external player, required connections and responsibility for updates.

04CMS & recurring costs

Per-display or per-account license, covered period, renewal, storage and included features.

05Offline content

What happens when the network fails, for how long and what test demonstrates it.

06Warranty & service

Term, exclusions, contact, site visits, agreed response time and replacement equipment if needed.

07Content & training

Who prepares the first content, hands over accounts and trains the team that will publish later.

08Exit & data ownership

Content export, account access, license cancellation and dependencies when changing vendors.

Review the vendors’ answers

  1. Ask for written answers and references for required items that are unclear or excluded. Update this sheet with those answers.
  2. Compare prices over the same period and display count. Separate initial investment, license renewal, service and variable items; clarify taxes and exclusions with each quote.
  3. Agree on tests and owners before acceptance. A sales phrase does not replace a test in your space or the written contract terms.
